    Job Description

    The Executive Assistant is responsible for providing administrative duties for the Global Investors Group team.  Responsibilities include maintaining schedules, arranging appointments, travel, expenses and meetings such that the teams are more efficient and productive.  The Executive Assistant is responsible for research and assigned projects with the use of initiative and independent judgment. Working as a team player, the Executive Assistant is responsible for the development and production of presentation materials.  As such, The Executive Assistant will have good interpersonal skills and command of Microsoft Office products to better enable them to perform the assigned duties.  Self-motivated, the Executive Assistant would anticipate work and perform well under deadlines. 

    Essential Duties

    • Develop presentations, emails, reports, spreadsheets, and memos.
    • Assist with time management and organization of the team.
    • Manage multiple project deadlines as assigned and operate using a great deal of initiative.
    • Manage calendars for multiple executives including scheduling meetings, arranging appointments and schedules and tracking project deadlines.
    • Coordinate domestic and international trips to include arranging and confirming of detailed business itineraries, visas, airline reservations, hotel accommodations, car rental reservations, etc. 
    • Process and track expense reports and reimbursements for the team.
    • Responsible for on-site meeting coordination to include schedule coordination, meeting room setup and take down, and materials prep.
    • Maintain a list of documents distributed to potential investors for each fund or investment initiative. Interface with both internal and external professionals at every level including many senior-level partners, institutions and consultants.
    • Support the daily operational and administrative needs of the department if and when necessary.
    • Additional duties as assigned.


    Minimum Qualifications:

    • 5+ years of Administrative Assistant experience supporting executive level management and their teams.
    • Strong command of English language and experience in drafting, compiling, and editing business correspondence.
    • Experience drafting and editing presentations in Microsoft PowerPoint.
    • Effective verbal and written communication skills.
    • Must be professional, polished, flexible, friendly and enjoy interacting with internal colleagues and associates and external clients.
    • Advanced proficiency in Word, Excel, PowerPoint, Outlook, & Adobe.
    • Experience in calendaring and workflow solutions
    • Qualifications may warrant placement in a different job level.

    Physical Requirements:

    • Regularly required to sit for extended periods of time; frequently required to stand, walk, and use business equipment daily such as computer, copier, fax, telephone, etc.; frequently required to reach overhead, bend, and lift objects of up to 25 lbs.
    • Ability to handle stress caused by multiple priorities, and other unforeseen situations associated with the organization.
    • Eyesight and hearing must be correctable to standard level.
