    Job Description

    The Administrative Assistant is responsible for providing administrative duties for the Global Investors Group team.  Responsibilities include maintaining schedules, arranging appointments, travel, expenses and meetings such that the teams are more efficient and productive.  The Administrative Assistant is responsible for research and assigned projects with the use of initiative and independent judgment. Working as a team player, the Administrative Assistant is responsible for the development and production of presentation materials.  As such, The Administrative Assistant will have good interpersonal skills and command of Microsoft Office products to better enable them to perform the assigned duties.  Self-motivated, the Administrative Assistant would anticipate work and perform well under deadlines. 

    Essential Duties

    • Proof presentations, emails, and memos.
    • Scheduling meetings for team members and reserve conference rooms.
    • Coordinate domestic and international trips to include itineraries, visas, airline reservations, hotel accommodations, car service, etc. 
    • Process and track expense reports and reimbursements for the team.
    • Responsible for on-site meeting coordination to include meeting room setup and take down, catering, building security clearance, and materials prep.
    • Maintain a list of documents distributed to potential investors for each fund or investment initiative. Interface with both internal and external professionals at every level including senior-level partners, institutions and consultants.
    • Support the daily operational and administrative needs of the department.
    • Collate and bind presentation decks and due diligence materials and shipment of items materials.
    • Assist with Salesforce data entry and reporting.
    • Additional duties as assigned.

    Requirements

    Minimum Qualifications:

    • 3+ years of Administrative Assistant experience.
    • Strong command of English language and experience in drafting, compiling, and editing business documents.
    • Effective verbal and written communication skills.
    • Must be professional, polished, flexible, friendly and a team player.
    • Advanced proficiency in Word, Excel, PowerPoint, & Outlook.
    • Experience in calendaring and handling multiple deadlines.
    • Salesforce, or other CRM, experience preferred.
    • Qualifications may warrant placement in a different job level.
